LIBRARY DATA POLICY

This policy document outlines the responsibilities and guidelines for customers that have licensed product data to Configura Sverige AB. It provides a comprehensive overview of the processes and expectations involved in managing and updating licensed product data within our systems.
1. Product Licensing
Access to the Library Software Package is included as part of the Library Publishing fee. Upon payment of the publishing fee, licenses for the Library Software Package will be allotted to you. These licenses are intended to support testing and verification of your published data.

2. Data Submission Standards
Types and Standard of Data
Catalogue Accepted Formats:
- OFDA XML (Catalog Version)
- Catalog SIF (.KEY, .OPT, .TOC) or 3 Part ASCII SIF
- Material Files (.MON, .FIX, .PLI)
- Excel Template
- Configura Template
- Other Industry Standard Excel Templates (Contact us for more information)
Model files:
- Must be a .DWG format
- 2D Plan View
- 3D Model
- Must follow standard Layering Conventions
Material files:
- JPG
- PNG
Company logo:
The company logo should be supplied to be displayed with the data downloads and other representations of your data within the software wherever Configura sees fit for use.
Data Input and Preparation
Manufacturers are required to adhere to specific data input and preparation standards to facilitate streamlined processing. To assist with this process, comprehensive guidelines for filling out the data template and preparing models and material files are provided in Addendum at the end of this policy document.
Submission of Data
Manufacturers inform and submit data via the Developer Portal or email libraries@configura.com. Upon receipt of the request, Configura will initiate steps detailed in segment Publication process and Data Verification.
3. Publication process and Data Verification
Turnaround time
Configura does not enforce a fixed turnaround time for updates, however we are committed to processing updates as expeditiously as possible. The timing will depend on factors such as our current pipeline and team availability.
Data Processing and Test Stage
- Upon receiving a new data submission request, Configura will process the data and prepare the data for verification. The processed data will be made available in a designated “test stage”, accessible only to you and/or other parties named by you during the data submission.
- Configura will notify you via email when your catalogs are available for testing and validation.
Manufacturer Verification
- Manufacturers are responsible for thoroughly reviewing the data in the “test stage”. This verification step is to ensure that the data is accurate and meets the customer’s expectations.
- Verification shall be performed based on the following methods that are applicable for the industry you are in:
- Commerical Interiors
- Spec
- Commerical Interiors Library in CET
- Material Handling
- Library Browser
- After verification, you should respond to the verification email , stating that you have either verified the data as correct or that you have identified errors or discrepancies. Both verification and error reporting will be sent to libraries@configura.com
Final Data Publication and Loop closure
- Once you have successfully verified that data and provided feedback on errors or discrepancies, Configura will proceed to publish the catalogue to all CET users.
- The entire process loop is considered complete after the changes have been published. Configura will send a confirmation email to you and/or other parties named by you during the data submission.
4. Error Notification and Data Updates
Manufacturers are to report any errors or discrepancies in their data and submit updates via the Developer Portal or email libraries@configura.com. Upon receipt of the request, Configura will initiate steps detailed in segment Publication process and Data Verification.
5. Update Frequency and Consequences
Manufacturer Data Maintenance Period
Manufacturers data will remain live and accessible within Configura’s products for a duration of ONE (1) year from the date of last update. After this period, if no updates have been received, Configura will issue a notice to the manufacturer, indicating the need for data updates. Manufacturers are required to sign off an acknowledgement that their non-updated data is considered valid within THIRTY (30) days of receiving the notice. Failure to acknowledge within this timeframe will result in converting your catalog to “LEGACY”. After this period Configura reserves the right to the removal of your catalogue from our product. This process is in place to ensure the relevancy and accuracy of the data presented to users.
Flexible Update Submission
Manufacturers are encouraged to submit updates at their discretion to keep their data accurate and up-to-date. Updates can be submitted at any frequency that aligns with your company requirements, as long as they adhere to the ONE (1) year maintenance period mentioned above.
6. Marketing Usage
Manufactures may use and reference the Configura brand to gain access to logos, corporate branding policies, and other marketing assets to be used. Specific questions not answered on this page can be directed to your Account Executive.
7. Termination Process and Communication
To initiate the termination process, Manufacturers are required to formally contact Configura via email your account manager. As stated in the license agreement, a minimum notice period of THIRTY (30) days prior to the desired termination date is mandatory. This advance notice allows us to facilitate a smooth transition and address any outstanding matters effectively.
8. Amendments to Policy
We may revise this Policy from time to time to reflect changes in our practices. If we make a material change to this Policy, we will notify you via email (to the email address associated with your account) within THIRTY (30) days before publication. If you have any questions or concerns regarding this policy, please contact your account manager.
